Alex The Notary, LLC, a California limited liability company, doing business as Alex The Notary, Juratica, and NotaryMind (“Company”, “we”, “us”, or “our”), provides in-person and mobile notary and signing services, including acting as a signing service provider that engages independent contractor notaries nationwide.
This Privacy Policy describes how we collect, use, disclose, and protect personal information in connection with:
- Our website located at https://alexthenotary.com (the “Site”);
- Our offline interactions (for example, in-person appointments, phone calls, mail, or email); and
- Our provision of notary and signing services by staff notaries and independent contractor notaries (together, the “Services”).
By accessing the Site or using the Services, you acknowledge that you have read this Privacy Policy and understand that your personal information will be handled as described here, subject to applicable law.
This Privacy Policy is for informational purposes only. It does not create any contractual rights or obligations, and, in the event of any conflict between this Privacy Policy and applicable law, the latter controls.

Scope and Relationship to Other Privacy Notices
This Privacy Policy applies to information we handle in connection with:
- Website visitors, registered users, customers, and prospective customers;
- Individuals whose information appears in documents we handle (for example, co-borrowers, spouses, trustees, business partners, beneficiaries, or other parties to a transaction);
- Business contacts at lenders, title/escrow companies, real estate professionals, vendors, and other counterparties;
- Job applicants, employees, and independent contractors; and
- Participants in any events, webinars, beta programs, or community features we may offer.
In some cases (for example, for employees or applicants) we may provide separate or supplemental privacy notices. Where such a notice applies, it controls to the extent of any conflict.
Where we act on behalf of another entity (for example, a lender, title company, or other business client), that entity’s own privacy notice may also apply. We are not responsible for the privacy practices of those third parties.

Categories of Personal Information We Collect
The information we collect depends on how you interact with us and which Services you use. Because our Services involve handling legal and financial documents, the information can be extensive and sensitive. Examples of categories of personal information we may collect include:
- Basic Identifiers and Contact Information – Names, aliases, usernames, postal addresses, email addresses, telephone numbers, and similar contact details.
- Government-Issued Identifiers and Sensitive Identifiers – Information that may appear in the documents we handle or in identification records, such as driver’s license numbers, passport numbers, tax identification numbers, Social Security numbers or similar identifiers, and other data required or permitted for identity verification, notarial acts, or transaction processing.
- Online Identifiers and Device Information – IP address, device identifiers, browser type, operating system, approximate location derived from technical data, and similar information collected automatically when you visit the Site or use our online features.
- Account and Profile Data – Account credentials, profile details (such as job title, employer name, preferences, biography, and optional profile photo), communication preferences, and information you choose to store in your account.
- Transaction and Commercial Information – Records of services requested or provided, appointments, transaction descriptions, real estate and loan information, order details, invoices, subscription or plan information, and similar records.
- Payment and Financial Information – Information needed to process payments, which may include payment card or account information and related details, collected by us and/or our payment processors, subject to their terms and industry rules.
- Documents and Content Related to Notary and Signing Services – Real estate and loan packages, powers of attorney, estate planning documents, corporate records, and other legal, financial, or commercial documents we receive, prepare, witness, or notarize. These may contain extensive information about you and other individuals, including income, assets, liabilities, property holdings, marital history, contact details, and related information.
- Biometric and Notarial Records – Where required or allowed by law, thumbprints, signatures, and other identifiers recorded in notarial journals or in separate electronic records, as well as information about the identification documents presented.
- Communications and User-Generated Content – Information contained in emails, chats, forms, reviews, comments, uploads, messages, or other content you submit, including any personal information you choose to include.
- Usage, Analytics, and Marketing Information – Information about how you access and use the Site or online Services, including pages viewed, features used, session recordings, time spent, navigation paths, and information related to marketing campaigns, newsletters, surveys, promotions, and feedback.
- Employment, Contractor, and Applicant Information – Resumes, work history, education, references, background check information (where allowed by law), tax and payroll-related identifiers, emergency contacts, and similar workforce-related information.
Some of this information may be classified as “sensitive” under certain laws (for example, government IDs, precise location, financial account details, login credentials, certain demographic data, or biometric data). Our handling of such information is described in this Policy and may also be subject to specific legal requirements.

Sources of Personal Information
We obtain personal information from a variety of sources, including:
- Directly from you – for example, when you schedule an appointment, upload documents, create an account, request information, participate in a signing, apply for a job, or communicate with us.
- From documents and transaction materials – for example, loan packages, real estate documents, legal instruments, or other paperwork supplied by you or by a business client.
- Automatically – through cookies, pixels, SDKs, session-recording tools, and similar technologies when you use the Site or our online Services.
- From third parties – including lenders, title and escrow companies, real estate professionals, data brokers or list providers, identity verification and fraud-prevention providers, background check agencies, and single sign-on providers.
- Public or semi-public sources – such as public records, government databases, and publicly available online profiles, as allowed by law.

How We Use Personal Information
We use personal information for business and commercial purposes, which may include:
- Providing and Managing the Services
- Scheduling and performing notary and signing appointments;
- Verifying identity and authority to sign;
- Preparing, reviewing, transmitting, and handling transaction documents;
- Coordinating with independent contractor notaries and other counterparties;
- Operating, maintaining, and improving the Site and related systems.
- Account Creation, Administration, and Support
- Creating and maintaining user accounts;
- Authenticating users and securing access;
- Providing customer service and technical support;
- Managing preferences and settings.
- Payments, Billing, and Business Operations
- Processing payments and refunds;
- Maintaining accounting, tax, and audit records;
- Administering pricing, invoicing, and collections;
- Managing relationships with business clients, vendors, and partners.
- Communications
- Sending transactional and service-related messages (for example, confirmations, reminders, status updates, account notices, security alerts, and legal notices);
- Responding to questions, feedback, and support requests;
- Sending marketing or promotional communications, newsletters, survey invitations, and event information where permitted by law, with the ability to opt out of marketing communications.
- Analytics, Quality, and Development
- Monitoring usage of the Site and Services;
- Conducting analytics, reporting, and business intelligence;
- Testing and improving features, workflows, and user interfaces;
- Conducting quality assurance and training;
- Developing new services and business lines.
- Advertising and Personalization
- Supporting interest-based and contextual advertising in connection with the Site;
- Measuring the effectiveness of marketing campaigns;
- Showing or recommending content that may be relevant to you;
- Working with analytics and advertising partners, subject to contractual and legal limitations.
We structure our relationships with these partners so that, based on our current understanding of applicable law, we do not treat our use of personal information as a “sale” or “sharing” of personal information as those terms are defined in certain state privacy laws.
- Security, Fraud Prevention, and Compliance
- Protecting the integrity and security of accounts, documents, and systems;
- Detecting, investigating, and responding to suspicious activity, fraud, abuse, or security incidents;
- Enforcing our internal policies and agreements;
- Conducting background checks and related vetting where permitted by law and required by clients.
- Legal, Regulatory, and Business Requirements
- Fulfilling legal and regulatory requirements, including notarial laws and recordkeeping obligations;
- Responding to lawful requests from courts, regulators, law enforcement, or other authorities;
- Managing actual or potential claims, disputes, or litigation;
- Supporting corporate transactions (for example, mergers, acquisitions, financing, or transfers of assets), where personal information may be evaluated or transferred as part of the transaction, subject to confidentiality obligations.
We may also use aggregated, de-identified, or anonymized information for any purpose allowed by law, provided it does not identify any individual.

How We Disclose Personal Information
We may disclose personal information to the following categories of recipients, for the purposes described in this Privacy Policy:
- Independent Contractor Notaries and Related Personnel – In our role as a signing service provider, we share information and documents with independent contractor notaries and related personnel who perform notary and signing services on our behalf. We provide instructions and require agreements imposing confidentiality and data-handling obligations; however, these parties also have their own legal obligations and may act as separate controllers of certain records (for example, notarial journals).
- Service Providers and Vendors – Third-party companies that provide services to us, such as hosting and infrastructure, analytics, advertising support, payment processing, customer support, email and marketing tools, identity verification and fraud prevention, background checks, and document management.
- Business Clients and Counterparties – Lenders, title and escrow companies, real estate professionals, attorneys, and other entities involved in a transaction or with whom we have a business relationship, where disclosure is necessary or appropriate to provide the Services or to meet contractual requirements.
- Professional Advisors and Insurers – Attorneys, auditors, accountants, insurers, and other professional advisors who assist us with legal, compliance, risk management, or business functions.
- Transaction Participants – Entities involved in an actual or potential merger, acquisition, financing, sale of assets, bankruptcy, or other corporate transaction, subject to appropriate confidentiality obligations.
- Public and Community Features – If you post reviews, comments, or other content in areas of the Site or in community features that are designed to be public, that content may be visible to others and may be indexed by search engines, subject to the functionality provided.
- Legal and Regulatory Recipients – Courts, law enforcement, government agencies, regulators, and other third parties as we believe in good faith is appropriate to: (a) comply with law, a subpoena, or a legal process; (b) protect our rights, property, or safety or that of others; (c) investigate or respond to actual or suspected fraud, security incidents, or illegal activity; or (d) enforce our policies and agreements.
- With Your Direction or Consent – We may disclose personal information to any other third party when you direct us to do so or give your consent.
We intend our third-party service providers to act as our “service providers,” “processors,” or similar roles under applicable law, and we do not treat our sharing of personal information with them as a sale or “sharing” of personal information for cross-context behavioral advertising under certain state laws, based on our current understanding of those laws.
We do not authorize staff, contractors, or service providers to use clients’ identities or specific transaction details for marketing without separate, explicit written consent.
Section 8
Notarial Records, Journals, and Thumbprints
Many aspects of notarial practice are governed by state law and are carried out by individual commissioned notaries as public officials. To the extent required or permitted by law:
- Staff notaries maintain physical and electronic journals and related records in their capacity as notaries, and those journals are generally treated as the property and responsibility of the individual notary, not the Company;
- Journals may include entries prescribed by law, which can involve signer information, document descriptions, identification data, and fees;
- Thumbprints or similar identifiers may be collected and stored in a notarial journal and/or associated records for certain transactions and retained for periods required or allowed by law; and
- Notaries may be required to retain and eventually surrender journals and certain records to a public authority (for example, a county official) upon termination of their commission or as otherwise mandated.
Because these records are governed by statute and maintained by the individual notary, we generally cannot alter or delete notarial journal entries or related required records in response to privacy requests, except as allowed or directed by applicable law or a competent authority.
Section 9
Handling of Documents, Identification Records, and High-Profile Clients
Given the nature of our Services, we may handle complete transaction packages and identification records, which can be highly sensitive and may involve high-profile individuals such as public figures or individuals with significant assets. In connection with these activities:
- We may scan, copy, or otherwise handle identification documents and transaction packages and store them using technical and physical safeguards, including encryption and controlled access;
- Completed document sets and identification records may be retained for extended periods, consistent with our business needs and legal obligations;
- Only personnel and contractors with a need to know for a particular assignment or operational function are intended to have access to transaction materials;
- For high-profile signers, we may apply additional internal practices, such as limiting the number of individuals with access to their information, using coded job references, or similar approaches; and
- We do not permit staff or contractors to disclose client identities or transaction details for personal or promotional purposes, and we require consent for any marketing use that could identify a client.
We may, from time to time, post general information about our Services or experiences (for example, anonymized references to types of signings or settings) in marketing or on social media, but we do not intentionally identify specific clients or transactions without separate written consent.
Section 10
Independent Contractor Notaries
When we engage independent contractor notaries to perform Services:
- We provide them with the information and documents they reasonably require to complete the assignment;
- We expect them to access and store such information in a secure manner consistent with their legal obligations and our contractual requirements;
- We require contractual commitments addressing confidentiality, information security, use of assistants or subcontractors, and handling of physical and electronic records; and
- We instruct them regarding retention, deletion, and destruction of records to the extent feasible.
Independent contractor notaries remain independently responsible for their own notarial journals, for complying with the laws of their commissioning state, and for any separate privacy obligations that apply to them. While we seek to contractually manage their handling of information, we do not control every aspect of their practices and cannot guarantee their compliance in every case.
Section 11
Retention of Personal Information and Backups
Because our Services involve legal and financial records, we generally retain personal information for extended periods. In particular:
- We retain information for as long as we consider it reasonably necessary to provide the Services, to support internal business needs (including recordkeeping, compliance, accounting, and risk management), and to meet legal or regulatory obligations;
- Some records, including notarial journals and certain transaction materials, may be retained indefinitely or for as long as permitted or required by law, professional obligations, or client requirements; and
- Backup copies and archival systems may continue to store personal information for additional periods, even after it is removed from active systems, until such backups are cycled or overwritten in the ordinary course of business.
When we receive a request to delete personal information, we evaluate whether we are legally required or allowed to retain some or all of the information. We may decline to delete information where an exception applies (for example, where the information is needed to comply with legal obligations, to protect our rights, or to complete ongoing matters).
Section 12
Security
We employ administrative, technical, and physical safeguards designed to protect personal information, including:
- Encryption for data in transit and at rest, where appropriate;
- Access controls and role-based permissions;
- Logging and monitoring of certain systems and activities;
- Vulnerability management and other technical controls; and
- Internal policies and training addressing confidentiality and information handling for staff and certain contractors.
We maintain an internal incident response process to address potential data security incidents. If we determine that applicable law requires us to notify you or a regulator about a particular incident, we will do so in the manner and within the timeframe required by law.
No system or transmission is completely secure. We cannot guarantee absolute security of any information transmitted to or from us.
Section 13
Children’s Information
Our Site and Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13 or from individuals under 16 where applicable law requires parental consent for such collection.
If we learn that we have collected such information contrary to this section, we will take appropriate steps to delete it or to comply with applicable legal requirements.
Section 14
Employees, Contractors, and Applicants
We collect and use personal information about employees, independent contractors, and job applicants for workforce-related purposes, including recruiting, onboarding, background checks, payroll and benefits administration, compliance, performance management, and related internal activities.
Where required by law, we provide separate privacy notices that apply to workforce-related information. In the event of a conflict between this Privacy Policy and a specific workforce privacy notice, the specific notice controls.
Section 15
State-Specific Privacy Disclosures and Rights
Certain U.S. states have enacted comprehensive consumer privacy laws that may grant their residents specific rights with respect to personal information and may impose obligations on businesses.
Whether these laws apply in a particular situation depends on several factors, including the nature of the interaction, the individual’s residency, and the size and characteristics of the business. As a result, not every right described in this section will apply to every individual or to every activity we undertake.
Categories, Purposes, and Disclosures (High-Level Summary) — Consistent with the information above, we may collect identifiers, contact details, government-issued identifiers, financial and transactional information, internet and device information, approximate geolocation, professional information, user-generated content, biometric identifiers (such as thumbprints in notarial contexts), and certain demographic and background information. We use and disclose these categories of information for the purposes and to the categories of recipients described in Sections 5–8 of this Privacy Policy.
No “Sale” or “Sharing” as Defined in Certain Laws — Based on our current understanding of applicable state privacy laws and our current practices, we do not “sell” personal information or “share” personal information for cross-context behavioral advertising as those terms are defined in certain U.S. state privacy laws. We also do not have actual knowledge that we sell or share the personal information of individuals under 16 years of age.
Sensitive Personal Information — To the extent we collect information that may be considered “sensitive” under certain laws, we use it only as reasonably necessary to provide the Services, maintain security and integrity, authenticate users, process payments, comply with legal obligations (including notarial and recordkeeping duties), and support internal business operations. We do not use such information to infer additional characteristics about you in a way that would extend the scope of certain rights under these laws.
Individual Rights Where Applicable — Subject to applicable law, and to limitations and exceptions, residents of certain states may have rights such as:
- Accessing or receiving a copy of certain information we maintain about them;
- Requesting that we delete certain information;
- Requesting that we correct inaccurate information;
- Requesting information about how we handle categories of personal information; and
- In some jurisdictions, requesting limits on certain uses of sensitive personal information or opting out of certain types of targeted advertising or profiling.
These rights are not absolute. For example, we may be required or permitted to retain information in notarial journals, transaction files, or legal records, and we may deny requests where we cannot verify identity, where an exception applies, or where the request would conflict with law, court orders, or the rights of others.
How to Contact Us About Privacy Requests — To submit a privacy-related inquiry or request under applicable state law, you may contact us as described in Section 19 (Contact Us). We may ask you for information necessary to verify your identity and to process your request. If we cannot reasonably verify your identity or if we believe a request is unfounded, excessive, or otherwise not required by law, we may deny or limit our response as permitted.
Nothing in this Privacy Policy is intended to create rights or obligations beyond those provided by applicable law.
Section 16
Third-Party Websites, Platforms, and Social Media
The Site and our communications may include links to third-party websites, platforms, applications, or services that we do not control, including lender and title portals, document-signing platforms, background check providers, payment services, and social media networks. Your use of these third-party services is subject to their own terms and privacy policies, not ours, and we are not responsible for their content or practices.
We may maintain official pages on social media platforms and may receive aggregate or limited information from those platforms about interactions with our content, subject to the platforms’ own policies.
Section 17
User-Generated Content and Public Areas
If you submit reviews, comments, posts, or other content that is intended to be viewed by others (for example, public testimonials or forum posts), that information may be visible to other users and, in some cases, accessible outside the Site. You should not include confidential, financial, or other sensitive information in public submissions.
Depending on the features available, you may be able to edit or delete certain content you have submitted, but copies may remain in caches, backups, or archives, or may have been captured by others.

Changes to This Privacy Policy
We may revise this Privacy Policy from time to time. When we make changes, we will post the updated version on the Site. Your continued use of the Site or Services after any update constitutes your acceptance of the revised Privacy Policy, to the extent allowed by law.
We may choose, but are not required, to provide additional notice of material changes (for example, by email or a notice on the Site), depending on the circumstances and legal requirements.
